Inputting Thesis workforms into OCLC

Input bibliographic information into a new OCLC record:

(a). Type: wfm;acd theses both (Constant Data File) + F11

(b). Reformat the record (F2)

The record will have part of the bibliographic data filled in

(c). Type the remaining bibliographic information from the piece

(d). Press (Alt + F10) to send marked fields

(e). Validate the record (In the home position, type "val" and press F10)

(f). Save the record (In the home position, type "s" and press F10)

(g). Make a printout of the record

Assigning Subject headings:

(a). Look for key words in the title, introduction, table of contents and cover

(b). Search the key word in the authority index for the LC subject heading

(c). Add a 650 0 for the LC subject heading

Add subject heading to thesis record in OCLC:

(a). Bring up record by typing a forward slash (/) and the four digit save number and

F10

(b). Input subject headings

(c). Validate record (In the home position, type "val" and F10)

(d). Update the record to the OCLC database (In the home position, type "u" and F10)

(e). The OCLC record number will appear at the top of the record

(f). Write the OCLC number on the printout

Export the OCLC record into the Voyager database:

(a). In the home position, type "xpo" and F10

(b). Go to Voyager

(c). From the Import File select the record

(d). Save the record (click on the boat icon) or F7

(e). Write the Voyager number on printout

Assigning Call Numbers - (based on the students' major) (099 field):

(a). Use the sheet "Cutter Classifications for AU Theses"

(1). "T" the first letter, refers to "Thesis" or

"D" for Dissertation or

"H" for Honors

(b). Second and Third letters refer to the field of study

(c). Assign the author cutter using the first letter of the last name and the cutter numbers representing the second and third letters of the last name. Refer to the Call Number Cutter Table

(d). Search the call number in the call number index

(1). In the search for box - type the first three letters of the call number (ex.: TAY)

(2). Determine whether the second cutter will fit correctly in the index

Cataloging Thesis in Voyager:

Bibliographic Screen:

(a). Add 099 (call number)

(b). Add 710 (All AU theses except Architecture theses must have a 710 field)

ex.: 710:2 :Auburn University--Theses--Home Economics (Consumer Affairs)

(c). Add 948 field

ex.: 948 xpo, cat. 8/15/98 mj

(d). Save the record

(e). Write call number, date, initials and voyager number in book

Holding Screen:

(a). Create holding screen

(From the bib screen depress ctrl + F7)

(b). Ctrl + F9 (to update the status, type and enc/l)

(c). Complete the 852 field

ex.: 852 8 0 |b spec,thes |h TED .J664 |z Not Yet Available

(d). Create holding screen for copy 2

(from bib screen depress ctrl + F7)

(e). Ctrl +F9

(f). Complete the 852 field

ex.: 852 8 0 |b spec,thes |h TED .J664 |t 2 |z Not Yet Available

(g). Write call number, initials and voyager number in book

(h). Barcode ONLY c.2
